Get paid faster and close the month without the scramble

Payment requests go out the moment a contract is signed. Reminders chase overdue invoices on schedule, payments are matched for you and payroll arrives prepared and checked. Nothing is paid or submitted without sign-off.

Why automate

Most finance teams spend their week raising invoices late, chasing payments and rebuilding the same reports, while cash sits in the gaps.

We hand the preparation, matching and chasing to AI that works inside your accounting system, and keep every payment, payroll run and formal notice with a person.

Bill on time

Payment requests on contract signing

A signed contract often waits days for someone to raise the invoice. When the e-signature completes, the invoice or deposit request is created in your accounting system from the contract terms and sent with a payment link. Milestone and recurring invoices follow the schedule in the contract.

Before
Raised when finance hears about it
After
Sent automatically on signature

Invoiced minutes after signature, not days

Collect what you're owed

Automated reminder letters

Chasing overdue invoices is awkward and easy to put off. Reminders go out on a schedule you set, from a friendly nudge to a formal letter, written in your tone, referencing the invoice and stopping the moment payment lands. Final notices wait for your approval.

Before
Chased when someone remembers
After
Staged reminders, stop on payment

Every overdue invoice chased, on schedule

Collect what you're owed

Payment matching and reconciliation

Bank lines with half a reference and partial payments eat the end of every week. AI matches incoming payments to invoices, marks them paid, and queues only the unclear ones for a person with its best guess attached.

Before
Matched line by line
After
Auto-matched, exceptions queued

Most payments matched without a person

Pay people and suppliers

Payroll preparation

Hours, leave, overtime, starters, leavers and pay changes arrive from different places. AI collects them, compares the run against last month, flags anything unusual and prepares the file for your payroll provider or software. A person approves before it is submitted.

Before
Spreadsheets and last-minute changes
After
Collected, checked, ready to approve

Payroll arrives prepared and checked

Pay people and suppliers

Supplier invoice processing

Supplier invoices arrive as PDFs in a shared inbox. AI reads them, matches each to its purchase order and delivery, codes it and routes it to the right approver. Payments are only released after approval.

Before
Keyed in by hand
After
Read, matched, sent for approval

Invoices coded and routed the day they arrive

Close and report

Automated reports

The month-end pack, cash position, aged debt and budget-versus-actual are rebuilt by hand every month. AI builds them from your accounting system with a plain-English commentary on what moved and why, ready for review.

Days of spreadsheet work
After
Draft pack on day one

Connected data

Contracts, bank and books in step

Your e-signature, accounting, bank, HR and payroll tools feed one finance workflow layer. Invoices, reminders, payroll and reports all read from it, so nothing is keyed twice.

Finance workflow layer. E-signature (Signed contracts, terms), Accounting system (Invoices, ledgers), Bank feeds (Incoming payments), HR & time tracking (Hours, leave, changes), Supplier inbox (PDF invoices) feed into Your finance workflow layer (Every action logged), which updates Payment requests (On signature), Reminders (Final notice approved), Payroll file (Checked, for sign-off), Reports (Month-end and cash).

How we roll it out

One workflow first, then the rest of the money flow

We start read-only, prove one workflow against one number, then expand.
  1. 01: Map the money flow

We walk through billing, collections, payables and payroll, and connect read-only to your accounting, banking and e-signature tools.

    Read-only access first
  2. 02: Pick the first workflow

Usually contract-to-invoice or reminders: quick to prove, measured on days to invoice or days sales outstanding.

    One workflow, one metric
  3. 03: Run with sign-off

AI prepares, matches and drafts; a person approves every payment, payroll run and final notice.

    Human approval on
  4. 04: Expand and tune

Add reconciliation, payables, payroll and reporting once the first workflow holds, and review the rules monthly.

FAQ

AI for finance questions

How do payment requests on contract signing work?

We connect your e-signature tool (such as DocuSign, PandaDoc or Adobe Sign) to your accounting system. When a contract is fully signed, the invoice or deposit request is created from the agreed amounts and terms and emailed to the client with a payment link. Milestone and recurring invoices are scheduled from the same contract.

Will automated reminders upset our clients?

You set the tone, timing and number of reminders, and they stop as soon as payment arrives. Key accounts can be excluded or routed to their account manager instead, and anything formal, like a final notice, waits for a person to approve it.

Do you run our payroll?

No. We automate the preparation: collecting hours, leave and changes, checking the run against last month and preparing the file for your payroll provider, software or accountant. A person approves before anything is submitted, and your provider stays responsible for the calculations and filings.

Which tools do you connect to?

Commonly Xero, QuickBooks, Sage, NetSuite and Business Central, your bank feeds, Stripe or GoCardless for payment links, e-signature tools, HR and time-tracking systems, and your payroll provider. If a tool has an API or export, we can usually bring it in.

Can AI move money on its own?

Not in our builds. AI can prepare, match, code and draft, but releasing a payment, submitting payroll or sending a formal notice always needs a person's approval, and every step is logged for audit.

Is our financial data safe?

We use the minimum access each workflow needs, starting read-only, keep data in your systems where possible and log every action. We work within GDPR and can run on infrastructure in your region.

Where should we start?

Where cash is waiting. If contracts are signed but invoices go out late, start with contract-to-invoice. If invoices go out but payments are slow, start with reminders.
